Two simple steps to start
To access Smart Meetings, go to the upper-right corner of your board. There, you can click the Present button, and select Smart Meeting. This will open the Smart Meeting panel on the left hand side of your screen. Here, you can create your meeting agenda, define and navigate your meeting content, and decide what the participants’ experience will be like during a meeting.
✏️ If you've already selected frames as part of your meeting agenda, clicking Present and then Smart Meeting will activate full screen mode to start the meeting.
Opening Smart Meeting
Step 1: Build your meeting agenda with frames and activities
Frames will essentially be the slides shown to your meeting participants during the meeting. In the Smart Meeting panel, you have 3 options:
- Add all frames from the board
- Pick existing frames from the board
- Create a new frame
Adding frames to a presentation
If you choose to create new frames, you can add your content to them on the board. This content will be shown to collaborators during the meeting.
Note that any content on your board that's outside of a frame, will not be included in the meeting content.
Instead of adding new frames, you can also select existing frames: select a frame that’s already on the board and click Add frame to meeting on the context menu. The frame will then be added to the Smart Meeting panel.

Once you have added a frame to your meeting agenda, you can select it on the panel to set up the duration of the slide while you're presenting.

You can also add an activity to the frame: voting, breakout frames, or timer. To do so, select your frame in the panel, and click on the apps and activities icon on the bottom right corner of your frame. You will be able to initiate the activity on the particular frame during your meeting with one click:
- Voting. Set up an anonymous voting session by configuring the number of votes per person, duration, etc., and save it for later use during the meeting
- Breakout frames. Use breakouts to divide collaborators into groups to let them work together on a specific frame. Set up breakouts in advance, so that you can start your activity with a few clicks when it’s time to meet
- Timer. Use the timer to track your time while running a whiteboarding session
Setting up collaborative apps
Simply drag your frames across the panel to change their sequence. You can select multiple frames while holding Cmd or Shift (for Mac)/Ctrl (for Windows) and move them together.

If you need to remove a frame from your meeting, select the frame and right click to access the frame menu. Select the Remove from meeting option. You can also remove all frames at once by selecting all frames and right clicking to the frame menu. Then select Remove from meeting.
Step 2: Set up participant permissions
At the top of the Smart Meeting panel, you’ll find the Participants experience section. Here, you can define which tools your meeting participants can use during the meeting. Switch the toggle on to simplify the use of the board for new users; switch the toggle off if you would like to select and allow participants to use some tools during the meeting.

Running the meeting
As soon as you start the meeting, you’ll be automatically switched over to full screen mode. You will still have access to facilitator tools through the toolbar at the bottom of your screen.
✏️ All frames that you have added to the meeting will be automatically locked to prevent them from accidentally moving.

Click the Next and Prev arrows to go through your slides, or select a specific frame from the frame list. Participants are guided through the slides as you navigate.

Hand off
If you’re running a big meeting with multiple speakers, you can hand off your presentation to another speaker:
- In the facilitator toolbar at the bottom of your screen, access the list of people in the presentation.
- Select a user and click Handoff.
The original presenter will transition to the participant view and the new presenter will be able to control the presentation. The audience will be notified that there is a new presenter.

How it works for your participants
Participants don't need to do anything additional to connect to the meeting aside from opening the board where the meeting is hosted.
Once you start your meeting, participants that are on the board will get a notification in the top-right corner of their screen. Once they click Join, they will be brought to the frame that you’re presenting.

Once they have joined, they still have the option to move around the board freely, and switch back to the presenter’s view by clicking Return to presenter.
Unless you have enabled participant tools during your meeting preparation, participants will or will not be able to use tools during the meeting However, users who have editing rights are able to perform other actions such as moving and deleting objects on the board.
Finishing your meeting
Once you are ready to wrap up the meeting, you can hit Esc to leave full screen mode. Then, click Stop on your toolbar. The meeting also stops automatically when everyone leaves the board.
