Who can do it: Company Admins
Which plans: Enterprise
Which platforms: Browser
Company Admins can deactivate users. Deactivated users are not deleted. They stay in the plan directory and can be reactivated at any time.
Deactivating a user does not remove their data. Miro restores their permissions if the user is reactivated. Company admins can optionally permanently delete a deactivated user.
This article explains how to Deactivate a user, Reactivate a user, and Permanently delete a deactivated user.
To learn more about what happens when you deactivate a user, see Deactivated users reference.
TIP: You can enable automatic deactivation for guests. See Invitation settings on Enterprise plan.
Deactivate a user
As Company admin, you can deactivate a user at any time. When you deactivate a user, they no longer consume a license.
Follow these steps:
- In Admin Console, go to Users > All users.
- Search and select the user you want to deactivate.
- On their user profile, click Manage.
- Click Deactivate.
- (Optional) Tick Reassign user's content if you want to transfer boards, templates, and Spaces. Then choose a new owner in each team where the user owned content. This step cannot be reversed, but each item can be reassigned by the new owner later.
- Click Deactivate.
TIP: You can bulk deactivate users. In Admin Console, go to Users > All users. Tick the checkbox next to each name for up to 50 users, then under Bulk actions select Deactivate.
NOTE: To deactivate a Company Admin, you must revoke their Company Admin permissions first.
To view all deactivated users, in Admin Console go to Users > All Users, then click the Deactivated Users tab.
Deactivate a user when they are the only team admin
If you see the following message when trying to deactivate a user, the user is the only admin in an Enterprise team or teams: The team must have at least one Admin.
To fix this, invite yourself to these teams and grant Team Admin rights to yourself. To see which teams the user is a member of, and their role, in Admin Console go to Users. Search and select the user you want to deactivate. The user profile shows their teams and respective role.
Reactivate a user
As Company admin, you can reactivate users.
Reactivated users can sign-in to Miro immediately. They have access to shared boards, team boards, and boards they had created before they were deactivated, unless the boards were re-assigned.
Follow these steps:
- In Admin Console, go to Users > All users.
- Click the Deactivated users tab.
- Search and select the user you want to reactivate.
- On their user profile, click Manage.
- Click Reactivate.
- (Optional) Add the user to teams.
- Click Reactivate to confirm.
Permanently delete a deactivated user
As Company admin, you can permanently delete a deactivated user.
- In Admin Console, go to Users > All users.
- Click the Deactivated users tab.
- Search and select the user you want to reactivate.
- On their user profile, click Manage.
- Select Delete.
- Click one of the following:
- Delete user
- Delete user and content
TIP: You can bulk permanently delete deactivated users. In the Deactivated users tab, tick the check box next to each user you want to delete. Then at the top click Delete from company.
NOTE: Anyone with permission to add new users can invite deleted users back to your plan as members, or to a board as guests.
Deactivated users reference
The following applies to all deactivated users:
- Deactivated users cannot access your Enterprise account.
- Deactivated users cannot use your company's SSO option to log in anymore, switching back to standard authentication methods.
- Shared boards and Spaces created by deactivated users are not reassigned to anyone else and are still available to collaborators (unless during deactivation, you also remove the user from their team. In this case, the boards are reassigned to a team admin. This is usually relevant for SCIM operations).
- All notifications to deactivated users are blocked.
- If you have enabled Block deactivated users, then deactivating a user blocks them from logging in to any domain you have registered in Miro.
- Other users cannot share boards and Spaces with deactivated users.
- Deactivated users cannot be added to teams within your Enterprise subscription. Company Admins can reactivate deactivated users upon inviting them as members, learn more.
- Deactivated users are not billed. Their licenses are released and can be applied to another active user.
- The following attributes are not allowed to be updated for Deactivated users:
userNameuserTyperoles.value
- If a user is deactivated via your identity provider using SCIM, their content is not reassigned.
