Recreating permissions for migration is straightforward when there’s a single group of users who need to access everything in scope for your migration. Before moving your content into Miro, create and share projects with collaborators to make sharing easy and maintain a standard structure.

However, if you need more granular permissions set for each of your Miro boards, we recommend accounting for this when you are setting aside time for migration.

Prioritize files for migration

Migrating your content into Miro provides a valuable opportunity to organize and declutter obsolete content. Based on our extensive experience guiding customers through tool migrations, we’ve found that only 10-15% of content remains actively used and relevant. The rest can often be discarded or preserved as a historical reference through file backups.

Recent activity: Review how recently the content has been viewed or edited. Many customers find that content accessed within the past 30, 60, or 90 days is considered “live” and worth migrating.
Historical importance: Identify content serving as an artifact for a past project or as a document reference.
Data retention policies: For items not actively in use or deemed more complex, consider creating and storing static versions on your file storage servers, such as SharePoint, Drive, or Box. Check with your Admin if there is a data retention policy where files are archived into a storage system.
