Content Explorer lets you select multiple boards and perform one action on all of them at once, instead of working board by board. Bulk actions are available in the Available, Trash, and Content lifecycle views. The Data discovery view doesn't support bulk actions.
- You can act on up to 1,000 boards at a time. If your search or filter matches more than 1,000 boards and you select all of them, Content Explorer selects only the first 1,000 boards matching your filters. The panel title ("First 1,000 of [total] boards selected") and a banner above the list ("Selected the first 1,000 of [total] boards.") both indicate when this happens.
- Which bulk actions you can perform depends on your admin role. For more information, see Admin roles and privileges in Content Explorer.
Select boards
- Select the checkbox next to each board you want to act on, or select the checkbox at the top of the list to select all boards matching your current search and filters. The list label changes to reflect your selection, for example, "4 boards selected" for a manual selection, or "Selected all 4 boards matching current filters" when you use the header checkbox.
- Review the summary panel that opens. It shows the same details as a single board's details panel, but aggregated across your selection, for example, "Multiple values" appears where selected boards differ on a setting. Click the chevron next to the selection count to collapse the panel into a row of summary chips, such as owner, teams, and last opened or modified dates.
- To remove your selection, click Clear selection (or Deselect in the Content lifecycle view) above the list, or close the panel.
Perform an action
Click the action button at the top of the summary panel. Which actions are available depends on the view and, in the Content lifecycle view, the state of the selected boards:
- Available view: Move to trash
- Trash view: Restore or Delete permanently
- Content lifecycle view: boards are grouped by state (such as Trashed), and the relevant action appears for each group
In the confirmation dialog, click the matching button to confirm, or Cancel to back out.
Deleting boards permanently is destructive. The confirmation dialog keeps the Delete permanently checkbox selected by default and asks you to select a reason from a dropdown, or choose Other and type your own. The Delete permanently button stays disabled until you provide a reason.
Track bulk operations
After you confirm an action, the selected boards show a Processing status in the list while the operation runs.
To check on a bulk operation, click the bulk actions icon (a clipboard with a checkmark) in the top bar. The panel lists each operation with:
- How many boards completed out of the total selected, such as "Restore boards (4/4)."
- A checkmark once every board in the operation completes successfully.
- If any boards couldn't be processed, a note stating how many operations couldn't be completed, a Download errors (CSV) link, and a Try again button.
Bulk operations run in the background. You can navigate away or close the panel without interrupting them.
When a board can't be processed
Some bulk operations can fail for an individual board instead of silently skipping it — for example, a board under legal hold can't be permanently deleted. As more bulk actions are added, other conditions can cause a board to fail in the same way. Download the error CSV from the Actions in progress panel to see which boards in a bulk operation failed and why.
More information: All bulk operations are recorded in Audit logs, both as a single "Bulk operation scheduled" and "Bulk operation completed" event, and as an individual event for each board that was processed.
