Content Explorer gives admins one place to view, search, and manage boards in your organization. Depending on your admin role, Content Explorer lets you:
- Review and manage board metadata and settings, including sharing, access, and other board properties.
- Manage board lifecycle, including moving boards to Trash, restoring or permanently deleting them, and viewing boards scheduled for automatic deletion.
- Search and filter boards based on various board properties and metadata, then open any board to view its details in a single panel.
- Review sensitive content that data discovery has detected on a board, jump straight to a match on the board, and hide matches that were detected incorrectly. Note that this feature is available only if you have the Enterprise Guard add-on.
- Track each board's lifecycle state, along with the retention or disposition policy that applies to it and when it takes effect. Note that this feature is available only if you have the Enterprise Guard add-on.
✏️ Access to each view depends on your admin role. For more information, see Admin roles and privileges in Content Explorer (Beta).
Understanding Content Explorer views
Content Explorer is organized into four views, shown as tabs across the top of the page, each covering a different area of board management, with its own columns, filters, and actions.
To access Content Explorer, perform the following steps:
- Click your profile avatar, and then click Admin console.
- On the left sidebar, click Boards.
You may see one or more of the following views, depending on your admin role.
- Available: Boards that users can currently access. Use this view to audit how boards are shared and, if you're a Content Admin, to change a board's sharing settings or move it to trash.
- Trash: Boards that have been moved to trash by users or by automated processes, such as disposition policies. Use this view to see what's scheduled for permanent deletion, and to restore or permanently delete a board.
- Data discovery: Boards that have been scanned and detected to contain sensitive information. Use this view to review business-sensitive and privacy-related matches on a board, and to hide matches that were detected incorrectly. Results reflect the most recent data discovery scan, so content added since then may not appear yet.
- Content lifecycle: All boards in your organization. Use this view to see each board's current state and which retention or disposition policy applies to it.
Common Content Explorer features
The features below are common across all views:
- Search: Search by board name or board ID in the search bar above the list.
- Sort: Each view has a default sort, for example Content lifecycle sorts by Retention until. Change it using the Sort by control above the list.
- Quick filters: A row of quick filters sits above each list, specific to that view. Click Filters to open the full filter panel for additional filters.
- Board details panel: Click a board row to open a slide-out panel with more information about that board, including contextual notes such as "This board contains sensitive information" or "This board is under retention" that link into the related view.
Each view also has its own additional features. To learn what's unique to a specific view, see Available, Trash, Data discovery, or Content lifecycle.
