When you open a board's details in the Available view, the panel includes a Sharing section and a Permissions section. These mirror the sharing settings available on the board itself, so you can review and update how a board is shared without opening it.
- Some roles can view these settings but not change them. For more information on the roles and permissions required to manage board sharing, see Admin roles and privileges in Content Explorer (Beta).
- Your permissions to change these settings may also be affected by team and organization settings, as well as board permissions.
Sharing
The Sharing section lists who can access the board. The top row shows the board owner, or the number of people invited once others have access. Click Manage access to add or remove people and groups.
Below that, an access level is shown for each of the following:
- The board's team, with the number of team members. Click the number to view the team's members.
- Your organization, with the number of members.
- Anyone with the link, controlling whether the board is accessible to anyone who has its link.
Permissions
The Permissions section controls what people can do with the board. Each setting has a question mark icon that explains what it does.
- Who can share this board: Team members with editing rights, or board owner and co-owners.
- Who can copy board content: Anyone with access to the board, team members, team members with editing rights, or board owner and co-owners.
- Adding visitor names if board is public: Whether visitors can add their names to the board.
Update sharing and permission settings
To change a setting, click the dropdown next to it and choose a new value. In the Sharing section, access levels are Editor, Commenter, Viewer, and No access.
Some settings are shown but can't be changed. This can happen for several reasons:
- Your admin role. Some roles can view these settings but not change them. For more information, see Admin roles and privileges in Content Explorer (Beta).
- Classification guardrails. A board's classification can restrict how it's shared. For example, on a board classified as internal, Anyone with the link is unavailable. The board details panel shows how many guardrails are active on the board.
- Organization and team settings. Some options are available only if they're enabled for your organization or for the board's team. For example, the Co-owner role can be assigned only if co-owners are enabled for the board's team.
- Board permissions. Admins can act on boards they don't own, and in those cases they might not have the same options as the board owner.
Add people or groups to a board
To give someone access to a board, perform the following steps:
- In the Available view, click the board that you want to share.
- In the board details panel, under Sharing, click Manage access.
- In the Add people or groups field, start typing a name, email address, or group name. Matching results appear as you type, showing each person's name and email address.
- Click a result to select it. Repeat to add more people or groups. Each selection appears as a chip in the field, which you can remove by clicking its close icon.
- Click the role dropdown next to the field and choose Co-owner, Editor, Commenter, or Viewer. Editor is selected by default.
- Optionally, enter a message for the people you're inviting.
- Click Add.
- Click Done to close the panel.
To invite people from the board's team instead of searching your whole organization, click Invite from team.

Change or remove someone's access
The People with access list in the Manage board access panel shows everyone who has access to the board, grouped by role and starting with the owner.
To change or remove someone's access, click the dropdown next to their name and choose a new role or remove them from the board.
You can't change the board owner's role directly. To reassign ownership, change another board member's role to Board owner. The previous owner's role is then updated automatically. Some role changes require confirmation before they're applied.
