The Available view is the default view in Content Explorer. This view lists boards that users can currently access. Use this view to audit how boards are shared across your organization and, if your admin role allows it, to change a board's sharing settings or move a board to trash. For each board, the list shows identifying information along with sharing, security, and activity details. In this view you can:
- Search and filter boards based on various board properties and metadata, then open any board to view its details in a single panel.
- Review and manage board settings, including access and other board properties.
- Move boards to trash.
NOTE:
- The Content Admin, Sensitive Content Admin, Data Governance Admin, and eDiscovery Admin roles can all open the Available view, but the information, filters, and actions available to you depend on which role you have, and some information requires the Enterprise Guard add-on. For more information on the roles and permissions required to perform tasks in this view, see Admin roles and privileges in Content Explorer (Beta).
- Your permissions to change these settings may also be affected by team and organization settings, as well as board permissions.
- Content might be shortened to accommodate more board information. Where a column is too narrow to show its full contents, hover over it to see the full value in a tooltip. Some columns also have a question mark icon that explains what they show.
Search, filter, and sort
- Search: Search by board name or board ID using the search bar above the tabs. Your search applies to all four Content Explorer views at once, and each tab shows how many boards match.
- Quick filters: The filter row above the list gives you fast access to the most commonly used filters, such as classification and owner.
- All filters: Click Filters to open a panel with the complete set of filters for this view, grouped by category. The panel includes filters that aren't in the quick filter row, such as date filters. Filters you set in the panel also appear in the quick filter row, and the other way around, so you can switch between the two without losing your selections. Click Clear filters to remove all filters at once.
- Sort by: Change the sort order, ascending or descending.
The number of boards matching your search and filters appears above the list. Your search, filter, and sort selections are saved in the page URL, so they persist if you refresh the page.
Board details
Click a board row to open a slide-out panel with more information about that board, such as when it was last opened and modified, who owns it, and its classification, including who applied it and how many guardrails are active.
To work with the panel:
- Click the chevron next to the board's classification at the top of the panel to show or hide a summary row with the board's owner, team, and last modified date.
- Hover over an item to see any additional actions it offers. For example, you can copy a user's email address, or open the team that owns the board.
- To close the panel, click the close icon or press Esc.
Sharing permissions and settings
The panel includes two sections you can act on:
- Sharing, showing the access level set for the board's team, your organization, and anyone with the link. Click Manage access to add or remove people and groups.
- Permissions, controlling who can share the board, who can copy its content, and whether visitors can add their names when the board is public.
Sharing and permission settings are sometimes shown but not editable. This can happen for several reasons:
- Your admin role. Some roles can view these settings but not change them. For more information on the roles and permissions required to perform tasks in this view, see Admin roles and privileges in Content Explorer (Beta).
- Classification guardrails. A board's classification can restrict how it's shared. For example, on a board classified as internal, Anyone with the link is unavailable. The details panel shows how many guardrails are active on the board.
- Organization and team settings. Some options are available only if they're enabled for your organization or for the board's team.
- Board permissions. Admins can act on boards they don't own, and in those cases they might not have the same options as the board owner.
For detailed information on sharing and permissions, see Manage board sharing and permissions in Content Explorer.
Sensitive information
If data discovery detected sensitive content on the board, the panel shows a note reading This board contains sensitive information. Click Show sensitive info to review the matches for this board without leaving the Available view. Use your browser's back control to return to the board's details.
NOTE: You need the necessary Admin role to view this information. For more information on the roles and permissions required, see Admin roles and privileges in Content Explorer (Beta).
Move a board to trash
To move a board to trash, perform the following steps:
- In the Available view, click the board that you want to move to trash.
- In the board details panel, click Move to trash.
- In the confirmation dialog, click Move to trash.
The board is removed from the Available view and appears in the Trash view, where it can be restored or permanently deleted until it's purged. For more information, see Manage boards in the Trash view (Beta).
