General billing information
Adding or removing licenses
Each team member needs a license, and billing is based on the total number of licenses, not team members. As you adjust your team size, the number of licenses may not always match the number of members. Charges for adding or removing licenses are prorated, ensuring you pay only for the time used.
If you have unexpected charges on your invoice, see Manage extra licenses.
For detailed explanations on how prorated amounts are calculated, review our guide on monthly and yearly billing.
For a detailed breakdown of how prorated charges appear on your bill, see Understanding your invoice.
✏️ Sharing boards with Visitors or Guests does not cost extra.
Credit card billing
Your card is billed at the end of your subscription cycle. To avoid charges, cancel beforehand.
Payment issues
Should payment fail, we'll retry after 7 and 14 days. After day 14, your plan becomes view-only until resolved.

True-up invoices
True-up invoices apply only for adding licenses on a yearly plan.
On a yearly plan, you receive a true-up invoice when you increase the number of licenses on your account. If you add a new member to your team, where all licenses are assigned, an additional license is applied to your account for the new team member.
If your payment method is by credit card, true-up invoices are sent during the month on your renewal date. For example, if your yearly renewal date is December 20th, and you add licenses on August 14th, you receive your true-up invoice for the additional licenses on August 20th.
If you add extra licenses and remove them before the system generates a true-up invoice on the scheduled date, the prorated amount for the used period will be added to your team's next invoice and you will only be charged for the period while the licenses were part of your subscription.
For example, if you add licenses on August 21st, then you receive your true-up invoice on September 20th.
If your payment method is invoicing, the same cadence applies quarterly, depending on when you add licenses.

Monthly and yearly billing
Monthly billing
You are billed for your plan each month on the date you originally signed up.
Example: If you started your plan on September 10, 2020, you'll be billed on the 10th of every month.
When you add licenses beyond what your current plan includes, your next monthly bill will include:
- The monthly renewal fee for your plan.
- An additional charge for each new license, calculated from the date the license is added.
You can remove members from your team anytime. If you also remove the unallocated licenses, this change takes effect on your next renewal date.
Your next monthly bill includes:
-
Monthly renewal fee
For example, you're on a monthly Starter plan with two (2) licenses paying $10 per license per month, where your renewal date is October 1st. On September 20th, you remove a member from the team. The second unused license is available on your account until the next renewal date on October 1st. On your renewal date, you are charged only for the remaining license, provided you make no other changes. -
Prorated charge
For each new license that you added then removed during the billing cycle, a charge is calculated from the date you added the license(s) until your renewal date. For example, you're on a monthly Starter plan that costs $10 per month for one (1) license. If you add a second license for only part of the month, then you are also charged a prorated fee for the days that the second license was on your account.
Yearly billing
You're billed for your plan once a year. If you add extra licenses during the year, you receive a true-up invoice on your next renewal date.
If your payment method is by credit card, then you receive your true-up invoice on a monthly basis.
Example: If your annual renewal date is the 20th of a given month, and you add licenses on April 15th, then you receive a true-up invoice for the additional licenses on April 20th. If you add licenses on April 21st, then you receive a true-up invoice on May 20th.
If your payment method is by invoicing, then you receive your true-up invoice on a quarterly basis.
More information: See True-up invoices
If you add more licenses than the number included in your current yearly plan, you'll only be billed for the new licenses for the time left until your yearly renewal.
You'll receive a bill that includes the extra charge for each additional license, starting from the date they're added.
Removing licenses takes effect on your next renewal.
Example: If your yearly plan begins on August 17, 2022, and you add a license on September 2, 2022, at a rate of $96 per year, you'll be billed $91.79 on September 17 for the extra license. This charge covers the period from September 2, 2022, to August 17, 2023, which is 349 days, calculated as $96 divided by 365 days, multiplied by 349 days.
You can remove members from your team anytime. If you also remove the unallocated licenses, this change takes effect on your next renewal date.
Let's take a look at some examples of how you can remove team members and reassign licenses to other users before your subscription date.
Scenario: You're on a yearly Business plan with ten (10) licenses paying $192 per license per year, where your renewal date is December 1st:
- Team size reduction with license renewal adjustment
In August, you remove five (5) team members. The unused licenses are available on your account until the next renewal date on December 1st, when you are charged $960 to renew the five (5) remaining licenses. - Temporary reduction and re-assignment of licenses before renewal
In August, you remove five (5) team members. The unallocated licenses are available on your account until the next renewal date on December 1st. In September, you invite and re-assign the unallocated licenses to five (5) new users. If you make no other changes before your renewal date on December 1st, then you have no unallocated licenses from the original ten (10) in your Business plan, and you are charged $1,920 to renew all licenses. Or, in September you invite and re-assign only three (3) of the unallocated licenses. If you make no other changes before your renewal date on December 1st, then you are charged $1,536 to renew eight (8) licenses, which includes the five (5) remaining after your adjustment in August, and the three (3) you re-assigned in September. - Fluctuating team size with prorated and true-up invoices
In August, you add two (2) team members. You receive a true-up invoice with a prorated charge from the date the new licenses were added to your account, which gives you twelve (12) fully paid licenses until the renewal date. In September, you add eight (8) licenses, but you remove ten (10) licenses before the end of the billing month. Your next true-up invoice includes a prorated charge for the short period of time when the eight (8) additional licenses were on your account. On December 1st, you are charged $1,920 to renew all ten (10) licenses.
