The Data discovery view lists boards that have been scanned and detected to contain sensitive information. Use this view to see where business-sensitive and privacy-related content exists across your organization, review the individual matches found on a board, and hide any that aren't relevant. For each board, the list shows identifying information along with how many matches were found and which labels they matched.
In this view you can:
- Search and filter boards, then open any board to review its matches in a single panel.
- Review business-sensitive and privacy-related matches separately, and narrow them down by label.
- Open a board directly at the item where a match was found.
- Hide a match that isn't relevant or was detected incorrectly.
NOTE:
- The Data discovery view is available only if you have the Enterprise Guard add-on. The information, filters, and actions available to you also depend on which admin role you have. For more information on the roles and permissions required to perform tasks in this view, see Admin roles and privileges in Content Explorer (Beta).
- Results reflect the most recent data discovery scan, so content added since then may not appear yet.
- Content might be shortened to fit more board information into the list. Hover over a value to see it in full. Some columns also have a question mark icon that explains what they show.
Search, filter, and sort
- Search: Search by board name or board ID using the search bar above the tabs. Your search applies to all four Content Explorer views at once, and each tab shows how many boards match.
- Quick filters: The filter row above the list lets you narrow the list to boards with business-sensitive or privacy-related matches.
- All filters: Click Filters to open a panel with the complete set of filters for this view, grouped by category. The panel includes filters that aren't in the quick filter row, such as sensitive labels and match types. Filters you set in the panel also appear in the quick filter row, and the other way around. Click Clear filters to remove all filters at once.
- Sort by: Change the sort order, ascending or descending.
The number of boards matching your search and filters appears above the list. Your search, filter, and sort selections are saved in the page URL, so they persist if you refresh the page.
Limited access to boards
If a board shows a Limited access label beneath its name, you don't have access to that board. You can still review its information in Content Explorer, including its classification, match counts, and the labels that were matched, but you can't open the board itself.
Review a board's matches
Click a board row to open a slide-out panel showing the matches found on that board. The panel separates them into two tabs, each with a total count:
- Business-sensitive information
- Privacy-related information
Each tab shows how many matches were found and across how many labels, followed by a row of label chips. Click a label to show only the matches for that label, or click All detected to show everything. Where there are more labels than fit in the row, click the chevron at the start of the row to show the rest.
Each match shows the labels it matched, the type of item it was found on, such as a sticky note or an image, an extract of the surrounding content, and the date it was detected.
To work with the panel:
- Click the chevron next to the board's classification at the top of the panel to show or hide a summary row with the board's owner, team, and last modified date.
- Hover over the question mark next to the classification to see when the classification was applied.
- To close the panel, click the close icon or press Esc.
Show sensitive information
By default, the matched content in each result is masked so it isn't visible to anyone looking at your screen. Turn on Show sensitive information, at the top of the panel, to reveal it. The matched text is then highlighted within the surrounding content, so you can see exactly what was detected. Turn the toggle off to mask it again.
Open a board at a match
To see a match in context, click the open board icon on the match. The board opens at the item where the match was found.
If you don't have access to the board, you can't open it.
Hide a match
Data discovery sometimes returns matches that are technically accurate but that your organization doesn't treat as sensitive, or that were flagged incorrectly, for example because of the way related terms sit close together or how the content is formatted. You can hide these matches so they aren't reported again.
To hide a match, perform the following steps:
- In the Data discovery view, click the board that the match was found on.
- Find the match, click the ellipsis next to it, and then click Hide match.
- In the confirmation dialog, click Hide match.
The match is no longer reported within the scope of that board. Repeat these steps for each match you want to hide.
NOTE: Hiding a match takes effect in real time. The board's classification and the guardrails applied to it are also updated, according to your auto-classification and Intelligent Guardrails configuration.
