The Content lifecycle view lists the boards in your organization along with their current state and the retention or disposition policies that apply to them. Use this view to see which boards are being kept, which are scheduled for automatic deletion, and which policy is setting each date. For each board, the list shows identifying information along with its state and its retention and disposition dates. In this view you can:
- Search and filter boards, then open any board to view its lifecycle details in a single panel.
- Review which retention and disposition policies apply to a board, and which one is in effect.
- Find boards with deadlines coming up, such as retention expiring or disposition due in the next 30 days.
NOTE:
- The Content lifecycle view is available only if you have the Enterprise Guard add-on. The information, filters, and actions available to you also depend on which admin role you have. For more information on the roles and permissions required to perform tasks in this view, see Admin roles and privileges in Content Explorer (Beta).
- Content might be shortened to fit more board information into the list. Hover over a value to see it in full. Some columns also have a question mark icon that explains what they show.
Search, filter, and sort
- Search: Search by board name or board ID using the search bar above the tabs. Your search applies to all four Content Explorer views at once, and each tab shows how many boards match.
- Quick filters: The filter row above the list gives you fast access to upcoming deadlines, such as boards disposable in the next 30 days or boards whose retention has expired.
- All filters: Click Filters to open a panel with the complete set of filters for this view, grouped by category, including separate groups for retention and disposition. Filters you set in the panel also appear in the quick filter row, and the other way around. Click Clear filters to remove all filters at once.
- Sort by: Change the sort order, ascending or descending.
The number of boards matching your search and filters appears above the list. Your search, filter, and sort selections are saved in the page URL, so they persist if you refresh the page.
Board lifecycle details
Click a board row to open a slide-out panel with the board's lifecycle information. What the panel shows depends on the board's state. For all boards, the panel shows the board state, such as Available, Trashed, or Retained. Content lifecycle shows every board in your organization across its full lifecycle in Miro, whether or not a retention or disposition policy currently applies to it. Some boards may not have any policy applied yet. For boards with a policy applied, the panel also shows:
- Retention until, the date the board is retained until, with the policies that apply to it.
- Disposition on, the date the board is scheduled to be moved to trash, with the policies that apply to it.
A board can have both a retention and a disposition date, one of them, or neither. If a board has both, disposition still moves it to trash on schedule. Retention doesn't block that move, but it does prevent the board from being permanently deleted, including overriding its normal time left in trash, until the retention period ends. For boards that have been moved to trash, the panel shows when the board was trashed and by whom, along with how much time it has left in trash before it's permanently deleted.
To work with the panel:
- Click the chevron next to the board's classification at the top of the panel to show or hide a summary row with the board's owner, team, space, and last modified date.
- To close the panel, click the close icon or press Esc.
Effective date
More than one policy can apply to the same board. Click the chevron next to the policy names to expand the full list, which shows each policy, the scope it applies to, and the date it would set. The policy that determines the board's actual date is marked Effective.
Actions
Depending on the board's state and your admin role, the panel may also offer actions:
- For a board that's available, Move to trash. For more information, see Manage boards in the Available view (Beta).
- For a board that's already in trash, Restore and Delete permanently. For more information, see Manage boards in the Trash view (Beta).
These actions require the Content Admin role. If you only have Data Governance Admin, you can view a board's lifecycle details here but won't see these actions unless you also have Content Admin. For more information, see Admin roles and privileges in Content Explorer (Beta).
